These Terms of Service (“Terms”) apply to your use of the Base website and to the purchase and use of memberships, class credits, passes and services provided by The Studio (Cardiff) Limited, trading as Base (“Base”, “we”, “us” or “our”).
By using our website, creating an account, purchasing a membership or credits, booking a class or using our facilities, you agree to these Terms.
Please read them carefully before making a purchase or using our services.
1. About Base
Base is a fitness and wellness facility in Cardiff providing services including:
Reformer Pilates
Heated studio classes, including Pilates and Yoga
Strength and fitness classes
Open gym access
Personal training
Wellness and associated services
Lounge and co-working facilities
Food, drink and retail products

2. Eligibility
You must meet any applicable minimum age requirements to create an account, purchase our services or use our facilities.
Where a person under the age of 18 is permitted to use our services, we may require consent from a parent or legal guardian.
We reserve the right to request proof of age where appropriate.
3. Your Account
You may be required to create an account to purchase memberships, credits or passes and to book classes.
You are responsible for ensuring that the information associated with your account is accurate and up to date.
Accounts, memberships, credits and passes are personal to the account holder and must not be shared, transferred or resold unless we expressly permit this.
You are responsible for keeping your login details secure.
4. Memberships
Memberships provide access to the services specified in the membership purchased.
The price, included credits, billing frequency and other relevant conditions will be displayed when you purchase your membership.
Recurring memberships will continue and payments will be collected at the agreed billing interval until the membership is cancelled in accordance with the cancellation terms applicable to your membership.
Memberships and their associated benefits are personal to the member and cannot normally be transferred to another person.
We may offer different memberships at different times and may withdraw memberships from sale without affecting an existing contractual commitment unless otherwise permitted by these Terms or applicable law.
5. Class Credits and Passes
Class credits and passes are subject to the validity and expiry period displayed at the time of purchase.
Credits must be used before their stated expiry date.
Unused credits will normally expire at the end of their validity period and cannot be carried forward unless expressly stated otherwise or required by law.
Credits and passes have no cash value and cannot normally be exchanged for cash or transferred to another person.
6. Introductory Offers and Promotions
Introductory offers, promotional memberships, discounted credits and other special offers may be subject to additional conditions.
These conditions will be displayed alongside the relevant offer.
Introductory offers may be restricted to new customers and may be limited to one purchase per person.
We reserve the right to withdraw or amend a promotion before purchase. Once purchased, the terms presented at the time of purchase will apply.
7. Class Bookings
Classes are subject to availability and should be booked in advance through our designated booking system.
A booking is not guaranteed until it has been successfully confirmed.
We may operate waiting lists for fully booked classes. Where a space becomes available, it may be offered or allocated in accordance with our current booking procedures.
Class schedules, instructors and formats may occasionally change.
We will make reasonable efforts to provide classes as advertised, but we cannot guarantee that a particular instructor will teach a particular class.
8. Cancellations and No-Shows
Class bookings must be cancelled within the cancellation period stated in our booking system or cancellation policy.
Where a booking is cancelled after the permitted cancellation deadline, or where you fail to attend a booked class, the relevant class credit may be forfeited.
Members with unlimited or inclusive access may be subject to a late-cancellation or no-show charge where this is clearly communicated as part of the applicable membership terms.
Repeated failure to attend reserved classes may result in restrictions being placed on advance booking privileges.
These measures help us manage limited class capacity fairly for all members.
9. Late Arrival
Please arrive in sufficient time to prepare for your class.
Once a class has begun, entry may be refused.
Late entry can disrupt the instructor and other members and may also prevent you from receiving important safety information or an appropriate warm-up.
If entry is refused because you have arrived late, the booking may be treated in the same way as a late cancellation or no-show.
10. Studio and Gym Etiquette
Everyone using Base is expected to treat our team, other members, facilities and equipment with respect.
Specific studio requirements may apply, including:
Grip socks in the Reformer Studio
Appropriate grip towels for designated heated classes
No footwear in the Strength Studio
Appropriate clothing and footwear for the activity being undertaken
Respectful use of equipment and facilities
Following reasonable instructions given by Base staff and instructors
Phones and other devices should not disrupt classes or the experience of other members.
We may introduce or update reasonable facility and studio rules where necessary for safety, hygiene and the experience of our members.
11. Photography and Filming
We respect the privacy of everyone using Base.
If you wish to photograph or film during a class, you must first obtain permission from the instructor and ensure that anyone who may appear in your content has consented.
Where filming is permitted, you may be asked to position yourself in a particular area of the studio to minimise the possibility of capturing other members.
You must stop filming if requested to do so by a member of the Base team.
Commercial photography or filming at Base requires our prior permission.
12. Health and Fitness
You are responsible for ensuring that you are physically able to participate safely in the activities you choose.
You should inform your instructor or an appropriate member of the Base team of any relevant injury, pregnancy, medical condition or physical limitation before participating where it may affect your ability to exercise safely.
Our classes and gym services are fitness and wellness services and are not a substitute for medical advice, diagnosis, physiotherapy or rehabilitation.
If you are unsure whether an activity is suitable for you, you should seek appropriate professional medical advice before participating.
You should stop exercising and seek assistance if you experience unusual pain, dizziness, shortness of breath or other concerning symptoms.
13. Following Instructor Guidance
Our instructors may provide instructions, exercise variations and modifications intended to help participants train appropriately within a group environment.
You are responsible for working within your own ability and communicating where you require an alternative movement or cannot safely perform an exercise.
For safety reasons, an instructor may ask you to modify or stop an activity.
14. Personal Belongings
You are responsible for personal belongings brought onto our premises.
Please use any storage facilities provided where appropriate.
To the extent permitted by law, Base cannot accept responsibility for loss, theft or damage to personal belongings unless caused by our negligence or where liability cannot legally be excluded.
15. Facilities and Equipment
Please use equipment only for its intended purpose and follow instructions provided by our team.
Any damage, defect or safety concern should be reported to a member of staff as soon as possible.
We may temporarily close or restrict access to parts of the facility for maintenance, repairs, cleaning, safety, private events or other operational reasons.
Where possible, we will provide reasonable notice of significant planned disruption.
16. Changes and Cancellations by Base
From time to time, we may need to change an instructor, class time, class format or location within the facility.
We may also need to cancel a class due to circumstances such as instructor illness, maintenance issues, severe weather, safety concerns or circumstances outside our reasonable control.
Where Base cancels a class, any class credit used for that booking will normally be returned to your account.
17. Prices and Payment
Prices are shown in pounds sterling and will include applicable taxes where required.
Payment is required using one of the payment methods made available through our website or booking platform.
For recurring memberships, you authorise the applicable payment provider to collect payments according to the billing schedule agreed when you purchase the membership.
If a recurring payment fails, we may attempt to collect the payment again and may temporarily restrict access to services until the outstanding balance has been paid.
18. Changes to Prices and Memberships
We may change our prices from time to time.
Changes to the price of an existing recurring membership will be communicated in advance and will take effect in accordance with the terms of your membership and applicable consumer law.
Changing prices displayed for new purchases will not retrospectively alter a purchase you have already made.
19. Refunds and Consumer Rights
Your entitlement to cancel a purchase or receive a refund depends on the type of service purchased, when the service begins and your rights under applicable UK consumer law.
Nothing in these Terms limits or excludes any statutory rights you have as a consumer.
Where you request that a service begins during any applicable statutory cancellation period, this may affect your cancellation or refund rights to the extent permitted by law.
Any additional refund or cancellation conditions applicable to a particular membership, pass, package or service will be displayed at the point of purchase.
20. Suspension and Termination
We reserve the right to refuse entry, suspend an account or membership, or terminate access to Base where there is a legitimate reason to do so.
This may include:
abusive, threatening or discriminatory behaviour;
harassment of staff or other members;
deliberate or serious misuse of equipment;
behaviour that creates a safety risk;
repeated or serious breaches of our policies;
fraudulent activity;
sharing memberships or accounts without permission; or
failure to make payments when due.
Any action we take will be proportionate to the circumstances and will not affect rights you have under applicable law.
21. Our Responsibility to You
We do not exclude or limit liability where it would be unlawful to do so.
Nothing in these Terms excludes or limits our liability for death or personal injury caused by our negligence, fraud or fraudulent misrepresentation, or any other liability that cannot legally be excluded.
While exercise naturally involves an element of physical risk, these Terms do not remove our legal responsibility to provide services with reasonable care and skill.
We are not responsible for losses that were not reasonably foreseeable when our contract with you was formed, except where applicable law provides otherwise.
22. Website Use
The content on our website is provided for general information about Base and our services.
You must not misuse our website, attempt to gain unauthorised access to it, interfere with its operation or use it for unlawful purposes.
We do not guarantee that our website will always be available or uninterrupted.
23. Intellectual Property
Unless otherwise stated, the content of our website and materials produced by Base, including our branding, logos, text, graphics, photography, class concepts and other original content, belongs to Base or is used by us under licence.
You may not reproduce, distribute or commercially exploit our content without our permission except where permitted by law.

We process personal information and use cookies and similar technologies in accordance with our Privacy Policy

25. Changes to These Terms
We may update these Terms from time to time to reflect changes to our services, operations or legal requirements.

These Terms are governed by the laws of England and Wales.
As a consumer, you will also retain any mandatory rights you have under applicable consumer protection legislation.
Any disputes will be subject to the jurisdiction of the courts applicable under UK consumer law.
